    What is the Purpose of Team Meeting Minutes?

    Team Meeting 

    Meeting minutes are a written record of what occurred during a specific meeting. How minutes are recorded and precisely what information goes into them is dictated by company policy. However, most minutes should include some primary components, particularly if the minutes are for a project team meeting.

    Minutes should provide the purpose of and an overview of the meeting. They should list who was present at the meeting, and may include a list of those involved with the project who were not present. Action items, which are tasks or activities that need to take place along with the name of the person to whom each action is assigned and an expected completion date, should come next. To complete the minutes, include information regarding the next meeting.

    While you can certainly document meeting minutes by typing them into a word processing program or spreadsheet, save time and effort by utilizing a template. One is for Microsoft Word 2010 or earlier, the other is for Microsoft Excel 2010 or earlier. Both are safe, free downloads that you can customize to suit your requirements.

    Project Team Meeting Minutes for Word

    This project team meeting minutes template is for Microsoft Word. It was created in Word 2010 and is an DOCX file, which is the same template format used in Word 2007. You can open it in Word 2003 as well after installing the Office Compatibility Pack.

    This template includes a place for your company name and project in the header. There is a table for other general information, such as the time and date of the meeting, attendees and those absent. There are tables for points discussed, current action items and closed action items, as well as a small table for information regarding the next project team meeting.

    You can easily customize your document, changing the colors used for shading, adding or removing columns or rows and more.

    Project Team Meeting Minutes for Excel

    Excel Project Team Meeting Minutes Template 

    This project team meeting minutes template is for Microsoft Excel. It was created in Excel 2010 and is an XLTX file, but you should have no trouble opening and using it in Excel 2007 or even 2003, as long as you have the Office Compatibility Pack installed.

    This template includes a place for your company name and logo, project name and other general information, such as the time, date and location of the meeting. There are tables for points discussed, current action items and closed action items, as well as a small table for information regarding the next project team meeting.

    One of the benefits of using an Excel team meeting minutes template is that you have the ability to easily sort and filter the tables to use the data as you need it. For example, you can sort action items by owner or by target date, making it simple to determine who needs to do what and when.

    Save Your File

    Once you download the selected template, it will open as a new file in Word or Excel. You may want to save it as a template in your Documents folder or on your network before you enter data into it. After entering your meeting minutes, you can then save it as a document or worksheet for that specific meeting. Finally, print copies for meeting attendees or send them electronically as email attachments.
